Currently Seeking a Purchasing and Accounting Coordinator

Job Summary

Assay Technology is a growing, employee-owned manufacturing company seeking a part-time, detail-oriented and organized Purchasing and Accounting Coordinator to join our team. In this dual role, you will manage our day-to-day procurement operations and assist with essential bookkeeping tasks. The ideal candidate will ensure we purchase goods efficiently while maintaining accurate financial records. This job will be 20-30 hours per week, 5 days per week, located in Livermore, CA.

Key Responsibilities

Purchasing & Procurement

    • Source supplies and maintain optimal inventory levels.
    • Create purchase orders (POs) and send them to vendors.
    • Negotiate vendor pricing and track shipment delivery times.
    • Resolve delivery issues, damaged goods, or order discrepancies.

Accounting & Bookkeeping

    • Match purchase orders with packing slips and vendor invoices.
    • Review vendor invoices for accuracy and work with vendors to resolve issues.
    • Process accounts payable (AP) and prepare vendor payments.
    • Process customer payments and assist with other AR related tasks, such as invoicing, collection efforts, and customer account reconciliation.
    • Keep accurate and organized filing system.
    • Assist with month-end and year-end tasks.
    • 1099 filings.
    • Other business filings.

Qualifications and Skills

  • Experience: 5+ years in bookkeeping, accounting, or procurement.
  • Education: Associate’s degree in Accounting, Business, or related field required.
  • Software: Proficiency with Microsoft Excel and SAP
  • Skills: Strong understanding of basic accounting principles, the general ledger, and period reporting, strong mathematical accuracy and logic, negotiation skills, attention to detail, self-motivator, comfortable interacting with people over the phone and via email, strong communication and interpersonal skills, ability to prioritize tasks and meet deadlines.

Pay: $26.00 – $29.00 per hour

Our History

Assay Technology had its origin in 1981 in a small garage lab in Silicon Valley where some of us pondered how to monitor personal exposure to chemicals. With “cost-effective & convenient” as our mantra, we sought to replace inconvenient pumps and hazardous glass tubes with much smaller personal samplers that would not disrupt work and would promote ease of analysis. During the 1980s and ’90s, the industrial hygiene community (including OSHA & NIOSH) seemed skeptical that cost-effective and convenient badges could out-perform the traditional, cumbersome pump-and-tube methods. At the same time, the health care industry were early adopters of Assay’s personal sampling badges and helped us to establish our business model, which is still to integrate the most cost-effective, convenient products with seamless customer service. In the 21st century, as personal monitoring badges have become dominant in vapor sampling, Assay continues to provide a product that is smaller, more convenient, and more cost-effective than competitors.
